Preparing for CYBHI (Step 6 of 9): Register All Internal & External Providers
Welcome back to our blog series, 9 Steps for School Districts to Prepare for CYBHI. In our last post, we discussed how to engage your school board early in the process to ensure alignment and support. Today, we’re moving into another critical implementation step: registering all internal and external providers.
While it might sound like a routine administrative task, registering your providers correctly and early can be the difference between a smooth CYBHI launch and costly delays.
Why Provider Registration Matters
The Children and Youth Behavioral Health Initiative (CYBHI) is built on the idea that schools are key to delivering equitable mental health care. For services to be reimbursed, every provider involved in student mental health services must be registered in the CYBHI system.
This includes:
- In-house school mental health professionals
- Contracted providers
- Interns under supervision
- Community-based organizations (CBOs)
- Behavioral health aides or paraprofessionals providing support services
If your district relies on any combination of these roles, it’s critical to ensure each individual or organization is officially recognized within the CYBHI system before offering billable services.
What Needs to Be Done
The provider registration process can vary depending on the provider type, but typically includes:
- Credential verification (licenses, NPI numbers, certifications)
- Assignment of provider IDs
- Affiliation documentation to link external partners with your district
- Approval through Provider Connect or your system of record
It’s not just about submitting paperwork. It’s about ensuring the right information flows to the right place at the right time. Any missing or incorrect documentation can result in rejected claims or delays in reimbursement.
Internal vs. External Providers
Internal providers are usually district employees, such as counselors, social workers, or psychologists. While they may already exist in your staff database, they still need to be added to CYBHI’s system of record.
External providers such as telehealth vendors or community-based partners must be formally affiliated with your district to submit claims. CYBHI makes it possible to expand your provider network, but only if those providers are properly credentialed and registered.
Tad Tip: Register Early to Build Momentum
Many districts wait to register providers until the last minute. But registering early gives your team time to address credentialing issues, complete documentation, and build confidence in the system.
TadHealth simplifies the process with:
- Credential verification and affiliation tracking
- Batch uploads so providers don’t need to self-register
- Real-time dashboards to monitor pending approvals
- Integration with student systems to ensure provider assignments are accurate
Our platform is built for K-12 environments and supports all provider types with minimal administrative lift.
The Benefits of Timely Registration
Once your providers are fully registered, your district can start submitting claims, tracking services, and receiving reimbursements. This leads to:
- Confidence among staff that their work is valued
- Assurance for boards and leadership teams that the district is compliant
- Greater access to care for students
- Stronger partnerships with health plans and CBOs
Provider registration lays the foundation for everything that follows in CYBHI implementation.
